Personal Data: Any information that directly, indirectly, or in connection with other information -including a personal identification number – allows for the identification or identifiability of a natural person.  
  
Data Controller: Okki Solutions Limited, which determines the purposes and means of processing personal data. 
 
Data Processor: Any other third party that processes personal data on behalf of Okki Solutions and follows Okki’s instructions regarding data processing. 
 
We are committed as the Data controller to ensuring the privacy and security of personal data collected and processed during our business activities.

We may collect and process the following types of personal data: 
 
Contact information (e.g. name, address, email, phone number) 
Financial information (e.g. payment details) 
Academic/Professional background information (e.g. Language -, school certificates) 
 
Any other information necessary for the fulfillment of our services or compliance with legal obligations. 
 
 
Purpose of Data Processing 
 
Data will be gathered for the purpose of participation in the Competence Campus and the Telegram group and/or channel (applicable to Intermediate and Premium packages). Personal data provided by individuals will be processed solely for the purpose specified at the time of collection, including delivering courses, improving our platform, communicating updates/relevant information, improving services, and providing personalized content. We may also use aggregated and anonymized data for analytical purposes. Any additional processing will only occur with the explicit consent of the data subject or as permitted by applicable data protection laws. 
 
 
Legal Basis for Processing 
 
Data processing will only occur when there is a lawful basis, such as the necessity for the performance of a contract, compliance with legal obligations, or consent obtained from yourself as the data subject. Data subjects will be informed of the legal basis at the time of data collection. 
 
Data Security Measures 
 
We implement appropriate technical and organizational measures to protect personal data  from unauthorized access, disclosure, alteration, and destruction. This includes access controls, encryption, secure storage, security training for staff, and regular security assessments. While we do not process any sensitive information, any critical information processed such as financial information, will be handled with additional protection. 
 
Data Retention 
 
Personal data will be retained only for the duration necessary to fulfill the purposes for which it was collected unless a longer retention period is required by law. Upon completing the purpose for which personal data was originally collected, we shall delete or de-identify the data subjects’ personal data. However, if a longer retention period is necessary under the law or for us to deliver our services, the data subject will be informed through their provided official emails. 
 
Data Subject Rights 
 
The data subjects have the rights: (a) to be informed about the collection and use of their personal data; (b) to access the personal data we hold about them; (c) to have their personal data corrected/rectified, if any or your personal data held by us is false, erroneous, or misleading; (d), to restrict the processing of their personal data; (e) to object to the processing of your personal data or use for a particular purpose; (f) to data portability, that is the right to request your personal data, which you have provided to us, for your own use across different services; (g) to ask us to delete or otherwise dispose of any of your personal data that we hold; and (h) rights relating automated decision making and profiling.  
 
However, please note that our ability to perform our obligations derived from this contractual relationship and our ability to comply with our legal obligations sometimes depends on us accessing and being able to use the personal data that we process. Therefore, and depending on the circumstances, if you do not provide us with the personal data we request or if you ask that we stop processing your personal data, we may not be able to perform our contractual obligation to you and/or maybe in breach of the legal obligations applicable to us. In some cases, if we are not allowed to process your personal data, this may result in us being required to terminate our work relationship with you.

Data Sharing

We may transfer personal data processed internationally, outside Kenya, for processing and storage. Data Breach Notification: 
 
In the event of a data breach that poses a risk to the rights and freedoms of data subjects, we will notify the Office of the Data Protection Commission (ODPC)within 72 hours of becoming aware of such breach and communicate to the data subject in writing within a reasonably practicable time.
